Privacy & Data Protection Policy
At HFC India Pvt. Ltd. (hfcfire.com), we are committed to safeguarding corporate facility blueprints, technical BOQ designs, fire department liaison records, and personal customer data in strict accordance with national fire prevention protocols and data privacy laws.
01 Purpose & Institutional Scope
This Privacy Policy governs the practices of HFC India Pvt. Ltd. ("Company", "We", "Us", or "Our"), operating via our registered website hfcfire.com and our operational headquarters in Palwal and Faridabad, Haryana.
As a turnkey fire protection, hydrant engineering, cylinder refilling, and government Fire NOC liaisoning firm, we handle sensitive client architecture, industrial machinery locations, and organizational data. This policy outlines how information is gathered, managed, and safeguarded when you request site audits, cost estimations, hydrants/FAPS installations, or maintenance contracts (AMC).
02 Technical, Facility & Customer Data Collected
To perform precise hydraulic calculations and fulfill government Fire NOC norms, we collect the following categories of information:
- Contact Credentials: Client name, authorized representative title, corporate email address, and active telephone/WhatsApp contact numbers.
- Facility Architectural Data: Total covered area (Sq. Ft.), building classification (Industrial Factory, Logistics Warehouse, Commercial High-Rise, or Residential Unit), floor elevations, and plot coordinates.
- Fire Engineering Specifications: Existing piping drawings, pump room layout dimensions, underground static water storage capacities, transformer positions, and hazardous fuel storage points.
- Digital Activity: IP addresses, browser interaction, and anonymous usage telemetry submitted via our interactive BOQ Cost Estimator or contact forms.
03 National Fire Safety Norms & Data Processing
Our data processing strictly adheres to the engineering mandates laid down by statutory Indian safety authorities:
- National Building Code (NBC) 2016 (Part 4 - Fire & Life Safety): Client plot areas and occupancy classifications are processed solely to calculate required water flow rates (LPM), hydrant landing valve distribution intervals, and travel distances to fire exits.
- Bureau of Indian Standards (BIS): Equipment inspection records, including hydrostatic pressure test certificates (IS 13039 for hydrant systems, IS 15105 for automatic sprinklers, and IS 2189 for alarm networks), are documented and archived under certified quality oversight.
- Haryana Fire Service Act: Facility data is validated against zonal fire safety bylaws to ensure complete adherence prior to physical site testing.
04 Government Liaisoning & Regulatory Disclosure
In our capacity as Fire Safety Consultants, clients authorize HFC India Pvt. Ltd. to transmit designated engineering documents to statutory municipal and regulatory authorities:
- Submission of architectural fire evacuation layouts and pump room hydraulic calculations to the Haryana Fire Services Department, Municipal Corporations, or Urban Local Bodies (ULB) for Initial Fire NOC and Annual NOC Renewal clearances.
- Sharing pressure test certificates and cylinder refilling batch logs with government testing inspectors during mandatory on-site audits.
- Disclosures mandated by Indian law, judicial summons, or state law enforcement authorities during fire incident investigations or industrial forensic evaluations.
05 Blueprint, CAD Drawing & Technical Security
Technical designs, ring main piping layouts, and addressable alarm loop schematic diagrams submitted by clients are classified as proprietary infrastructure assets:
- All digital CAD (.dwg) files, PDF project specifications, and site photographs uploaded through our web infrastructure or exchanged with our design bay are stored in secured, access-controlled repositories.
- Field technicians and inspecting engineers access facility data strictly on a need-to-know basis required for equipment commissioning, maintenance, or pressure testing.
- All web transmission through hfcfire.com is encrypted via Transport Layer Security (TLS/SSL) protocols.
06 Maintenance (AMC) Logs & Record Retention
In compliance with statutory fire equipment shelf-life monitoring regulations:
- Fire Extinguisher Refilling & Hydro-Testing Logs: Maintained for a minimum mandatory cycle (3 to 5 years depending on ABC powder or CO2 cylinder class) to track hydro-testing validity and BIS certificate integrity.
- Annual Maintenance Contract (AMC) Audit Reports: Archived for the duration of the operational agreement plus an additional 3-year statutory audit window.
- General Web Inquiry Records: Stored until the inquiry or site survey is finalized, unless converted into an active execution project.
07 Client Rights & Control Over Information
Under the Digital Personal Data Protection (DPDP) Act of India, clients and facility owners retain specific rights regarding their registered information:
- Right to Access & Review: You may request a complete summary of your registered facility specifications and past inspection audit logs held in our registry.
- Right to Correction: You may update or amend outdated contact persons, company titles, or facility modifications.
- Right to Erasure: You may request the deletion of non-statutory data, provided such deletion does not invalidate an active Fire NOC application or violate government safety record-keeping laws.
